Event Assistant Long term temporary Part-time. 25 to 30 hours a week Days and times are flexible $20.00
The Event Assistant provides administrative and operational support for the planning and execution of conferences, trade shows, meetings, festivals, and special events. This position assists with event logistics, attendee registration, vendor coordination, communications, and on-site event operations to ensure a positive experience for all participants.
Essential Duties and Responsibilities
Administrative Support - Assist with the planning and organization of events work with Reg Fox & TicketSpice and Constant Contact.
- Maintain event files, databases, and registration records.
- Prepare event materials, agendas, attendee packets, and name badges.
- Respond to attendee, vendor, and sponsor inquiries in a professional and timely manner.
- Assist with data entry, reporting, and event documentation as well as design in CANVA
Registration & Attendee Services - Support attendee registration and check-in processes.
- Process registrations, payments, and confirmations.
- Prepare registration materials and event signage.
- Provide customer service and event information to attendees.
Vendor & Sponsor Support - Assist with exhibitor and sponsor communications.
- Help coordinate vendor registrations and booth assignments.
- Track sponsor deliverables and event requirements.
- Maintain accurate records of vendor and sponsor information.
Marketing & Communications - Assist with email campaigns, social media posts, and event promotions.
- Update event websites and registration platforms as directed.
- Help gather photos and content for post-event marketing and reporting.
Event Operations - Assist with event setup, execution, and breakdown.
- Coordinate event materials, signage, and supplies.
- Support speakers, exhibitors, sponsors, and attendees during events.
- Help troubleshoot issues and communicate solutions to event management staff.
- Perform other duties as assigned to support successful event operations.
Qualifications - Associate's or bachelor's degree preferred.
- Previous customer service, administrative, hospitality, or event experience preferred.
- Strong organizational and communication skills. Must be a self-starter and can multi-task.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Canva, Constant Contact
- Ability to manage multiple tasks and meet deadlines.
- Strong attention to detail and customer service orientation.
- The idea candidate will be assertive and proactive, action oriented and resolution focused, structured, yet flexible with good follow-through and time management skills.
